Terms of Service

Welcome to Vraxon Digital Ventures. By engaging our services, you agree to the following terms and conditions. These terms are designed to ensure a transparent, professional, and mutually beneficial working relationship.

Service Agreement

All projects begin with a detailed proposal outlining scope, deliverables, timeline, and costs. Both parties must agree to this proposal before work commences. Any changes to the agreed scope must be documented and approved in writing.

Intellectual Property

Upon full payment, all intellectual property rights for deliverables transfer to the client. Vraxon retains the right to showcase the work in our portfolio unless otherwise agreed upon in writing.

Confidentiality

We treat all client information, project details, and proprietary data with the utmost confidentiality. Non-disclosure agreements (NDAs) are available upon request before project commencement.

Privacy Policy

Information Collection

We collect only the information necessary to deliver our services effectively. This may include:

  • Contact information (name, email, phone number)
  • Project requirements and specifications
  • Payment and billing information
  • Communication history and preferences

Data Usage & Protection

Your data is used solely for project delivery and communication purposes. We implement industry-standard security measures to protect your information and never share, sell, or distribute client data to third parties without explicit consent.

Data Retention

Project files and client data are retained for 12 months after project completion for support purposes. Clients may request deletion of their data at any time by contacting us in writing.

Payments – One-Time Projects

Our one-time project payment structure is designed to align incentives and ensure commitment from both parties throughout the project lifecycle.

Important Notes

  • Work begins only after receipt of the 50% advance payment
  • Milestone payment is due upon delivery and approval of agreed milestones
  • Final payment must be cleared before project goes live or source code is delivered

Payments – Monthly Retainers

Work pauses automatically after 7 days if payment is delayed

Late Payment Policy

To maintain project momentum and respect both parties' time, work is automatically paused if payment is not received within 7 days of the invoice date. Services resume upon payment clearance. Repeated late payments may result in termination of the retainer agreement.

Extra Work – Out of Scope

Scope Definition

The project scope is clearly defined in the initial agreement. Any request not explicitly listed in the original proposal is considered "out of scope" and will be handled as follows:

  • New features or pages not in the initial agreement will be charged separately
  • Hourly rate for out-of-scope work: PKR 4,000 / Hour
  • All out-of-scope work requires written approval before commencement

Unused Hours Policy

Use It or Lose It

Monthly retainer hours are allocated on a per-month basis and do not roll over to subsequent months. We encourage clients to plan their requests accordingly to maximize the value of their retainer package.

Tip: Schedule regular check-ins to ensure you're utilizing your allocated hours effectively. Our team can help prioritize tasks to make the most of your monthly allocation.

  • Either party can cancel a monthly package with 15-day written notice
  • Notice must be provided via Email or WhatsApp for documentation
  • Any outstanding payments for completed work remain due
  • Work completed during the notice period will be delivered as agreed
